The clinic system that never loses the thread.
Patients reach your clinic through the website, the phone, and other doctors' offices. Kuluq lands every one of those asks in a single queue your front desk actually works, books real appointment times, and keeps a record your whole team can trust. Nothing slips.
Built first for a real multispecialty clinic opening in California. One clinic at a time, done right.
Three asks arrived through three different doors. Work the list.
Three doors. One list. Nothing slipped.
The record, as you work
- Your actions will appear here, exactly as they happen.
This demo runs entirely on this page. Nothing you do here is sent or stored anywhere.
Three promises
What a clinic gets when the system has character.
One queue, every door
Website requests, online bookings, phone messages, and referrals from other clinics all land in the same front desk list. Your staff works one queue, so no ask waits in a forgotten inbox.
Real times, really held
Patients pick from openings that actually exist on your calendar, online or by phone. A person on your team confirms every visit before it happens. Self-service speeds things up; it never replaces your staff's judgment.
A record you can stand behind
No chart appears without a human confirming it. Every record of who asked, who acted, and when is kept, permanently. When a question comes months later, the answer is in the record, not in somebody's memory.
The difference
Most clinic software remembers what happened. Kuluq is built to remember it whole.
The usual way
- The website form goes to one inbox, the phone notes to another, the faxed referral to a tray.
- Online booking tools promise times the clinic never sees.
- Records show the final entry and little else.
- When something slips, nobody can say where.
The Kuluq way
- Every door leads to one staff queue with the reason, the urgency, and the way back to the asker.
- Booking shows real openings, and your team confirms each visit by phone before it happens.
- The record keeps who did what and when, in order, without exception.
- If a referral or request is still open, it is visibly still open, until a person closes it.
Who it serves
Built around the people who actually run a clinic.
One list, worked top to bottom
Every request shows its source, its reason, and a phone number. Mark it contacted, scheduled, or closed. The list is the whole job.
Charts that start clean
New charts begin only after your staff confirms who the patient is. Medication entries are anchored to standard codes, not free-typed text.
A portal that respects them
Book a real time, see appointments, results, medications, and the consent forms shared with them. Help by phone is always printed beside the screen.
Answers, not archaeology
Who called, who booked, what is still open, and what happened when. The operational story of your clinic, kept in one place.
How it works
From first contact to a record you trust, in five steps.
A patient reaches out
Through your website, a phone call answered any hour, or a referral from another office. Every path is welcome, and every path has a person behind it.
The ask lands in one queue
Source, reason, urgency, and a way to call back, all in one list for your front desk. Nothing waits in a side inbox.
Your team confirms
Staff call back, verify identity, and book a real opening, or the patient holds one online first. Either way, a person reviews everything before the visit.
The visit happens, supported
Scheduling, consent forms, lab orders, and medications are handled in the same system, in plain reach of the people doing the work.
The record stands
What was asked, what was done, who did it, and when. Kept in order, permanently. That is the record your clinic can stand behind, to a patient, a partner, or an auditor.
Software has behavior. Ours has character.
Kuluq takes its name from the Arabic khuluq, a person's character. The way a system behaves when no one is watching is the way it behaves. We built that into the product.
Held to account
Plain answers about your data.
The promises below are the short version. Security and compliance documentation is available to qualified organizations on request.
Public forms stay minimal
The public website collects a name, a way to call back, and a few words. No insurance numbers, no medical detail, no document uploads on public pages.
Phone identity is earned
The phone assistant can answer questions for anyone, but nothing about a patient's record moves until identity is properly verified. Unsure means no.
Access leaves a mark
Records of actions are kept in order and are not editable after the fact. Emergency access paths exist, and using one is itself recorded.
Provenance
Designed by a practicing physician, alongside the people who answer the phones.
Kuluq was not assembled from a feature checklist. It is being built and run inside a real clinic launch, where a missed callback is not a bug ticket, it is a person who did not get care. That standard is the product.
Questions
Asked plainly, answered plainly.
Is Kuluq an electronic health record?
Kuluq is a clinical operations system with a record at its core: scheduling, intake, a patient portal, a phone assistant, lab and medication workflows, and the front desk queue that ties them together. It is built first for one multispecialty clinic, and it grows clinic by clinic, not by feature list.
Can patients book without talking to staff?
Patients can hold a real opening online. A member of staff confirms every first visit by phone before it happens. Self-service accelerates the front desk; it never replaces it.
What does the phone assistant actually do?
It answers around the clock, helps with scheduling, and takes messages that land in the same queue as everything else. It will not discuss anyone's record until identity is properly verified, and difficult calls go to a person.
How do referrals from other clinics work?
Referring offices send referrals through a dedicated portal, with documents attached. Your staff sees them in the same queue as every other request, and the referring office can be answered instead of left wondering.
Is my clinic's data used to train anything?
No data leaves your clinic for any secondary purpose without explicit, recorded consent. Where assistive tools help your team, a licensed clinician reviews their output. The rule is simple: no consent, no use.
